Thursday, August 31, 2000 Special Meeting Minutes

CALL TO ORDER
The meeting was called to order at 5:00 p.m.
CAR FREE DAY PLANNING
Wheeldon discussed the flyer and advertising material, and noted that the group needs to agree
on the format and content. She also noted that there is a need to finalize details, such as the
name of the stunt bike rider.
Wheeldon noted that she is also working on the banner, and stated that she is thinking it will read
“Ashland Car Free Day” or “Car Free Day” with some highlights. Commissioners agreed to go
with “Car Free Day.” Taylor questioned whether “Car Free Day” would be too small if “Ashland”
were added. Wheeldon stated that she would check what would fit well on the banner.
Discussed whether handing out raffle tickets in the morning would work, and decided that it would
be better to limit the raffle tickets to the afternoon fair. It was also noted that the trolley would run
continuously during the periods it was available.
It was noted that Dave Nourie’s show will be from 3:30 to 4:00 p.m. on the blocked off portion of
Iowa Street, and then at 5:20pm the raffle will occur, followed by the 2.5 mile community bike ride
starting at Triangle Park, from 5:30 to 6:00 p.m. There was discussion of the routes for the ride
and the walk, and it was noted that the ride would go to Walker and then loop back to the Plaza.
For the walk, it was decided that the group would loop down to the library and back.
Sawyer asked about the bus information, and Harris confirmed that the City’s new flyer will be

ready for September 15.
Wheeldon suggested doing Siskiyou Boulevard-through-time poster boards, and questioned
Harris about having a Siskiyou Boulevard contact sheet/flyer on display at Car Free Day. Harris
agreed to check in with the Public Works Division. Barnes also agreed to provide bus schedules,
Bikes on Buses, and RideShare brochures for distribution at the fair.
Sawyer noted that Siskiyou Cyclery, University Bike Shop, CylceSport, Bear Creek Bicycle, and
Full Circle Sports have contributed to the raffle, and pointed out that all but Bear Creek Bicycle
will be exhibiting at the fair.
Young noted that Dave Maltz, the electric bike designer, and “Solar Man” will both be at the
Transportation Fair. Rewcastle clarified that Dave Nourie’s non-profit organization is called
“Bike-It.”
Sawyer explained that he has asked the bike shops to bring the latest in safe transportation and
cargo hauling. Morris stated that she had tried to contact the Ashland Outdoor Store’s manager,
but she had not been able to connect. She noted that she has checked with Cantwell’s, Ashland
Community Foodstore and Safeway to carry pull-carts for pedestrians to transport groceries.
Barnes noted that RVTD is calling their valley-wide event “Rogue Valley Quality of Life Day,” and
they will be issuing a press release.
Sawyer stated that he has obtained the raffle donations from four of the five bike shops, and
noted that there will probably be about 10 items, including locks, bells, and horns. Taylor noted
that Carol Lee Rogers has donated a red bike jersey to raffle off. Wheeldon suggested that
Spear contact Ashland Community Food Store to see if they would be willing to make a couple of
"One Less Car" T-shirt donations for Car Free Day.
Rewcastle suggested that the flyer and the letter be distributed together, and questioned who
would be handling the printing and bundling. It was suggested that a total of 1750 flyers be
printed to cover the elementary schools, part of the middle school and the high school, plus a few
extras.
Spear noted that the signs will be available the first of next week, and stated that she would let
Harris know the size of the signs as soon as possible.
Morris pointed out that 2000 stickers have been ordered and should be ready next week, and
stated that she has prepared news releases to the papers, television stations, and radio stations.
She also noted that the Tidings had printed a piece last week, and stated that she will do another
press release next week. Morris noted that Myles Murphy of the Tidings will be doing features on
the event, and interviews with some of those involved.
The mornings station assignments were listed as follows: Taylor and Evo’s; Morris at Rogue
Valley Roasting Company; Rewcastle and Spear at Morning Glory; and Sawyer and volunteers at
Brother’s. Harris stated that she would check on the tables, and stated that at this point the plan
was to have the tables delivered by staff to the morning locations. Young questioned whether
tables could be left at Triangle Park by staff until the afternoon fair.
Susanne Sawyer questioned whether there would be sign-in sheets, and Young confirmed that at
the last meeting it was agreed that there would be sign-in sheets on a clipboard at each stop, and
that a comment section would be included. Wheeldon noted that this would be a good start for a
Siskiyou Boulevard Redesign Project mailing list.
Benjamin Sawyer asked if there would be signs at the restaurant stops. It was suggested that
these signs could read, “Car Free Fuel Stop” or “Car Free Pit Stop.” Young suggested using
orange bicycle visibility flags.
Young agreed to distributing stickers to all the morning stops on the morning of the event.
It was decided that there would be a work party/meeting at Wheeldon’s house (815 Oak Street)
on Tuesday, September 12th at 4:00 p.m. to assemble the signs. It was noted that the putting up

of the signs, on Thursday the 14, would be coordinated at that meeting.
Sawyer questioned where bike stores will be recognized. Wheeldon noted that they will thanked
on the flyers, as well as the coffee shops and possibly the Outdoor Store.
Morris inquired about the ad, and Wheeldon questioned how long it will run. It was confirmed that

the ad will run on Monday, September 11 and Thursday, September 14. It was clarified that
the maximum to be spent on the ad was $200.
