Project Definition
Project A will provide Year 2000 (Y2K) analysis and contingency planning services for the City of Ashland. This will
include engaging in a careful inventory of all computer hardware and software systems that may be in jeopardy in some
way due to the approaching Year 2000. It will also include working closely with city staff to develop a plan for dealing
with the potential Y2K problems.
Scope of Work
This project requires Project A to engage in several activities, including Needs Assessment, Discovery Interviews, System
Analysis, and Documentation, and may include Software Program Evaluation, Development, Testing, and Training.
For more details about the scope of work, refer to the letter that proposed these services dated May 26, 1998 and the
attachments to that letter.
Deliverables
The deliverable for this project is a detailed report of our findings, including hardware and software inventories,
recommendations, and a draft project plan for dealing with the issues that are discovered.
Timeline
The estimated timeline for this project is that it the deliverable described above will be met within sixty (60) days after the
acceptance of these Project Specifications and the receipt of the deposit. For us to be able to meet this timeline, it is
important that we have access to all relevant City technology and appropriate personnel in a timely and predictable
fashion.
Costs
The total costs for this project are dependent on the total hours required to perform all of the functions needed to complete
the project, billed at the rate of $75 per hour. The time that is required for this initial analysis is one hundred (100) hours,
It is agreed that this project will not exceed 100 hours without written approval from the City of Ashland.
The terms of payment for these costs are as follows: Actual hours, in qum~er hour increments, will be invoiced each
month. All invoices are due within thirty (30) days. Invoices not paid within thirty (30) days are subject to a 1½ percent
finance charge.

We have carefully reviewed these specifications and agree to and accept the terms and conditions.
