Our professional staff can assist you with planning for the occasion, selecting the appropriate menus, and coordinating other services to make your event special. We offer catering services ranging from coffee and boxed lunches to receptions and banquets, from wine and cheese parties to take-out service. When you arrange catering through Southern Dining, you will enjoy the highest quality service and the most competitive prices. Call us today so we can assist you with your catering needs. Southern Dining and Catering offers: RECEPTIONS/COFFEE BREAKS TO-GO MENUS BREAKFASTS LUNCHES DINNERS THEME MEALS SPECIAL ARRANGEMENTS The Scheduling Office will assist you with lecterns, risers, blackboards, and public address systems. There may be an additional charge for equipment. If you are unsure how to operate the equipment, Information Technology Services (ITS) will provide an operator for a fee. Scheduling A Catered Event AS SOON AS POSSIBLE Groups must reserve the date and room with the Scheduling Office in SU 321 (552-6462). Off-campus groups should begin the approval process for their educational event by contacting the Scheduling Office. THREE WEEKS PRIOR TO THE EVENT Plan your menu with the Scheduling Office no later than three weeks prior to the event. Arrangements for special beverage service should be made at that time. If you are planning something special, please ask the Scheduling Office to refer you to Southern Dining. TWO WORKING DAYS PRIOR TO THE EVENT Confirm the guaranteed number of persons to be served with the Scheduling Office (see Guarantees and Cancellations below). Guarantees and Cancellations You are required to give a final count to the Scheduling Office seventy-two hours prior to the start of the event. You are financially responsible for 95 percent of the final count. Southern Dining and Catering will be prepared to serve 5 percent more than the guaranteed attendance. You will not be charged for cancellations made at least two working days before the event. If you cancel fewer than two working days prior to the event, you will be billed the preparation costs incurred by Southern Dining and Catering. Decorations You should make your own arrangements for flowers and decorations and communicate those plans to the Scheduling Office. Southern Dining and Catering will provide basic silk flowers on tables to coordinate with the selected linen colors. Ice sculptures are available for $150. ~ 1 Food and Service .&. Meal prices include two hours of service. .&. A minimum of twelve meals, or $50 in sales, is required for all waited breakfasts, luncheons, and dinners. .&. All meal prices are per person unless otherwise indicated. .&. We will be happy to provide vegetarian entrees if we are given two working days' notice. .&. All food that is served in the Stevenson Union must be purchased through the University. Alcohol Service Wine and beer service may be arranged through the Scheduling Office with a minimum of two weeks' advance notice. This service is for groups and events at which everyone in attendance is at least twenty-one years of age. A minimum of $75 in total sales is usually required for service of alcoholic beverages. If sales are less than $75, the sponsoring organization will be financially responsible for the difference. SOU departments are not allowed to purchase alcohol with departmental budgets. Off-campus Guests The University can only accommodate guests who are part of an approved educational group. All off-campus guests must complete a program proposal form to qualify. The vice president for administration must approve the educational event before a catered event can be confirmed. The Scheduling Office has the program proposal form and can assist you with completing it. After completing and turning in the form please allow the Scheduling Office two weeks to obtain approval from the vice president for administration. Tickets We urge sponsoring organizations to finalize ticket sales before confirming the guaranteed attendance with the Scheduling Office. This minimizes the financial risk to the sponsoring organization. All tickets sold must state the cost of the meaL If tickets are sold for a different price, the overcharge must be stated on the ticket with an appropriate explanation. Food and Equipment We regret that all food and equipment must remain on the University property after your event to ensure proper handling and storage. Payment Process The method of payment for an event will be determined at the time of scheduling. (Southern Oregon University does not collect a gratuity for catering events.) Departmental requisitions for services that meet state regulations will be honored and the departmental journal vouchered. Bills are payable to Stevenson Union within fifteen days of the event. Additional Services Additional charges may be incurred for beverage service and small receptions, in addition to the listed food charges. $5 setup / cleanup fee in Stevenson Union $15 delivery / setup / cleanup fee for service in other buildings on campus $25 off-campus delivery fee $10 per hour, per person fee required to transport equipment and food to locations other than the Stevenson Union Service There is an hourly charge for a waitperson to serve at your reception: $7.50 per hour for a food server $7.90 per hour for an alcohol server Flowers Bud vases: $5-$8 per table Centerpiece: $25-$30 each Special Diets We offer many vegetarian options and can prepare vegan meals.
