Dear David:
Congratulations on your new position as City Councilor. As the secretary to the City Administrator and the
Mayor, I look forward to working with you during your tenure on the council.
I realize you are familiar with Traffic Safety Commission and Bike & Pedestrian meetings, but as a little bit of
background, City Council meetings are held on the first and third Tuesdays of the month at 7:00 p,m. in Council
Chambers, Study sessions are typically held on a Wednesday at noon following a Tuesday council meeting, but
these vary and can be scheduled at other times, We have recently discussed modifying the times for study
sessions to fit all councilors' schedules so this may change,
For study sessions that fall during lunchtime or at 6:00 p,m, (before a regularly scheduled council meeting) the
City will provide sandwiches or salads. As I am the one who orders these, please let me know at your
convenience if you have any special dietary needs (e,g, vegetarian),
I have enclosed the following which you may find useful (if there are any other city documents you would like
please let me know - most can be found on our city's web site as well at www.ashland.or.us)
· The "Lookahead" which is updated on a regular basis and indicates upcoming actions and scheduled study

· A complete council packet from the June 7 meeting,
· June calendar of council/commission meetings that is prepared on a monthly basis, You will note the City
Administrator meets (in his office at City Hall) with one or two council members and the mayor on a rotational
basis on Mondays at 4:00 p,m, I have tentatively scheduled June 2th at 4:00 p.m. for a meeting with you
which can be changed if this is not convenient.
· (Draft) Goals for 2005-2006,
· The Budget in Brief (2004-2005) and 2005-2006 (proposed) Budget.
· A list of City staff and their phone numbers,
· A list of current city commissions showing members, liaisons and meeting times (We will need to fill your
"citizen" positions on the Traffic Safety and Bike & Ped Commissions).

On Fridays before council meetings, I will hand-deliver to your home a council packet. Along with your council
packet, you may find other pieces of correspondence addressed to you that arrived during the week. If there is
anything of an urgent nature, I will try and let you know in advance of your packet arriving, Correspondence that
arrives for you at City Hall will be kept in your in-box which is in AdministrationlMayor's office, Anytime you
are in City Hall please feel free to stop by and see if there is anything for you in your in-box.
"Town Hall" is a monthly live call-in show hosted by Tim Bewley and held on the first Wednesday of the month
at 6 p,m, The Mayor and City Administrator appear as regular monthly guests, and city councilors take it in turns
each month. As you are a new councilor, maybe you would like to appear at the upcoming Town Hall which will
be July 6th? Please let me know your thoughts on this.
As a city councilor you will automatically become a member of the Citizens' Budget Committee, Committee
meetings usually take place during the spring and the process is just about complete for this year. The Finance
Department will advise you of any meetings for the future,
City Recorder, Barbara Christensen, will advise you on your Oath of Office to take place at the June 21, 2005
council meeting, and will be in touch with you to provide further information and assistance in your transition to
your new council position, If you have any questions you can reach Barbara at 488-5307,
It would be appreciated if you could provide me with your bio and a photograph at your convenience so I may
update the city council web site, It would also help if you could indicate where you like to be contacted (home,
etc,) so I can put this information on the web too. If you do not have a photograph please let me know and we
can arrange for one,
Tina Gray, Human Resources Director will be happy to explain your benefits package to you, Please give her a
call at 552-2101 at your convenience to set up a meeting,
