Architectural Services. Added Design Option and Cost Estimate
Dear Ann,
PIVOT Architecture (aka \VBGS Architecture & Planning, PC) has prepared a proposed amendment to
our agreement with the City of Ashland. The amendment covers design refinement and cost estimates
for one additional design option. The current scope of work includes preparation of design options but
assumes that a single option would be selected for development and cost estimates. PIVOT prepared 4
conceptual alternatives. During recent meetings including review by staff, council, and public, Options 1
and 4 were selected for further evaluation. Option 4 is located in the Grove Building. Following
refinement and budget work, we have assumed that an additional meeting would be needed to assist
Ashland in reviewing the final options and making a final selection.
Tasks
Administration
Task: Prepare amendment proposal, coordinate with subconsultants. Administer work
and maintain quality control. Revise schedule and maintain communications with the
City.
Assignment: PIVOT lead with assistance by Spectrum, BHE, and Construction Focus
Deliverable: Amendment, revised schedule.
Existing Conditions
Task: Obtain existing building drawings for the Grove. Enter floor plans and selected
information in digital form for use as a base drawing. Make copies of existing building
drawings for subconsultants.
Assignment: PIVOT
Deliverable: Existing building drawings.
Schematic Design Refinement
Task: Based on review comments from the City, make refinements to design Option 4.
Develop in sufficient detail to allow preparation of a conceptual level cost estimate.

Develop designs and information to a level equivalent to the single option contained in
the original proposal. Note it is assumed that review of Option 4 with the city would be
part of a review meeting for Option 1 already planned.
Assignment: Architectural work and base sheets by PIVOT, lighting design by BHE,
and A V systems by Spectrum.
Deliverable: Schematic drawings, narrative information, and illustrative drawings for
architectural, lighting, and A V systems.
Cost Estimate
Task: Prepare construction cost estimates for Option 4 in a manner consistent with the
single option in the original scope of work.
Assignment: A V equipment estimate by Spectrum. Lighting estimate by BHE.
Coordination and estimating of all other work by Construction Focus. Support and
review by PIVOT.
Deliverable: Construction cost estimate.
Review and Selection
Task: Conduct one meeting each 'with City Staff, Council & Mayor, and Public to
review designs and costs for Options 1 and 4. Assist City in evaluating the options and
selecting a preferred option. This includes one overnight trip to Ashland.
Assignment: PIVOT
Deliverable: Meeting minutes.
Fees & Expenses
The maximum amount for services and expenses is to be increased as follows. A detailed estimate of
added services is shown on the attached work sheet.

Schedule
PIVOT will work with the City to complete added work in a timely fashion. It is estimated that the
additional option will add about 3 to 4 weeks to the current schedule.
