PROPOSAL FOR ARCHITECTURAL AND ENGINEERING SERVICES
Weare pleased to submit our Proposal for Architectural and Engineering services for a
remodel of the Ashland City Hall Building located building at 20 East Main Street in
Ashland, Oregon. This proposal is based on photos and narrative information provided to
our firm titled "Ashland City Hall Proposal: City Maintenance Department".
Definitions
For the purposes of this proposal, the term "Client" or "Owner", shall refer to: City of
Ashland, and the employees and project representatives for this Project.
For the purposes of this proposal, the term "ADW" or "Architect" shall refer to Architectural
Design Works, Inc., their Principals, employees, project consultants and project
representatives.
PROJECT TEAM
ADW has assembled an experienced and highly qualified team of design professionals for
your project. Our team includes a structural engineer for limited structural engineering.
The ADW team will include:

PROJECT SCOPE
· A remodel of the Existing Ashland City Hall building located at 20 East Main,
Ashland, OR. The remodel consists of changing the entrance at the North comer of
the building by removing the existing door and replacing it with a window and
opening up the comer to resemble a previous historic period.
BASIC SCOPE OF SERVICES
The Basic Scope of Services will include the following phases of work and associated tasks:
Design
The scope of services will include preliminary design including floor plan and exterior
elevations, review with Owner, and review with Historic Commission. We understand there
is no requirement to take this Project through Pre-App or Site Review, so we have not
included these items in our Scope.
Construction Documents
This phase of the process will include the preparation of one set of construction documents
suitable for building, permit approval, bidding and construction of the project.
Meetings
The following meetings have been included within the Basic Services for this phase of the
project:
. Two (2) Owner Building Design Review Meetings
. One (1) Historic Commission Review Meeting.
Owner Responsibilities:
The Client and/or their consultants will be responsible for providing the following for this
project:
. Agency submittal review and permit fees
. Boiler Plate bidding documents
Bidding and Negotiations
The City of Ashland will prepare the boiler plate bidding documents. ADW will prepare one
set of bid documents and issue them to the pre-selected bidders as determined by ADW and
the Owner for this project. ADW will prepare any required bid addenda and answer bidders
questions during the bid period.

· The City of Ashland will be responsible for the Owner-Contractor contract, which
will be included in their boiler plate bid documents.

Meetings
The following meetings have been included within the Basic Services for this phase of the
project:
. One (1) Review bids with Owner
. One (1) Meeting with Owner and Contractor
Construction Administration
ADW will provide limited Construction Administration services. ADW will respond to
Contractor Request for Information (RFI), review any required submittals, attend critical
construction meetings and review payment requests. This item will be a separate item under
Additional Services.
COMPENSATION
Basic Services:
Architectural Design Works, Inc., proposes to provide the services described under the Basic
Scope of Services excluding Construction Administration section of this proposal for a
stipulated total fee of$4.995.00 (FOUR THOUSAND NINE HUNDRED NINTY-FIVE
DOLLARS)
Construction Administration
Construction Administration is not included in this proposal. This will be considered an
Additional Service. See paragraph below.
Additional Services
Additional services are defined as those services that are not specifically described herein
within the Basic Scope of Services section and/or otherwise qualified within the
Compensation Section. Additional services will be compensated on a "Time-and-Materials
Basis" using the attached ADW Hourly Billing Rates and Reimbursable Expenses Schedule
or as agreed to in writing by the Owner and ADW prior to the delivery of said services.
Reimbursable Expenses
Reimbursable expenses include, but are not limited to, project-specific supplies and project-
related plotting, printing, copying, photography, postage, travel, etc. Please see the attached
ADW Hourly Billing Rates and Reimbursable Expenses Schedule for standard rates and
items. These costs are in addition to the fees shown above.

We hope that our proposal has addressed all of your project needs and concerns. If this
proposal is acceptable, please return one signed original to our office and we will prepare a
draft AlA Owner-Architect Agreement for your review.
